Volunteer Waiver, Consent & Code of Conduct
Thank you for volunteering with the Egyptian Pavilion. Volunteers are an important part of creating a safe, welcoming, and successful event for our guests, performers, team members, and community.
Please read this Waiver, Consent, and Code of Conduct carefully before submitting your volunteer registration.
1. Volunteer Participation
I confirm that I am volunteering willingly and understand that my volunteer role may include duties such as setup, teardown, kitchen support, food serving, food line support, culture display, admission, customer service, cashier support, bar support, photography/video support, eco initiative support, VIP support, or other event-related tasks assigned by the organizers.
I agree to follow the instructions of the Egyptian Pavilion organizers, supervisors, venue staff, and authorized team leads during my volunteer shifts.
2. Health and Safety Acknowledgement
I understand that volunteering at an event may involve normal risks, including but not limited to standing for long periods, walking, lifting or carrying light items, working near food, kitchen equipment, crowds, noise, heat, spills, stairs, electrical equipment, decorations, tables, chairs, and setup or teardown activities.
I confirm that I am physically able to perform the volunteer duties I select or accept. If I have any injury, medical condition, allergy, food allergy, physical limitation, or other concern that may affect my ability to volunteer safely, I will inform the organizers before my shift.
I agree to follow all safety instructions and immediately report any accident, injury, unsafe condition, spill, hazard, or emergency to a supervisor or organizer.
3. Food Handling and Hygiene
If I am assigned to kitchen, food preparation, food serving, food line, or any food-related area, I agree to follow proper hygiene and food safety instructions.
This may include washing my hands, wearing gloves or hair covering when required, keeping the food area clean, following supervisor instructions, and not handling food if I am sick or have symptoms that may affect food safety.
4. Code of Conduct
I agree to act respectfully and professionally while representing the Egyptian Pavilion.
I understand that I must:
- Treat guests, volunteers, performers, organizers, and venue staff with respect.
- Avoid harassment, discrimination, bullying, aggressive behaviour, or inappropriate language.
- Follow all event rules, venue rules, safety instructions, and supervisor directions.
- Arrive on time for my scheduled shifts and notify the organizers as soon as possible if I cannot attend.
- Wear my volunteer ID, badge, wristband, or uniform if required.
- Not attend my shift while impaired by alcohol, cannabis, illegal drugs, or any substance that affects my ability to volunteer safely.
- Respect confidential or private information I may see or hear during the event.
- Use event equipment, supplies, food, and volunteer benefits only as permitted by the organizers.
I understand that the organizers may remove me from a volunteer role or cancel my volunteer access if I do not follow this Code of Conduct.
5. Attendance, ID Card, Barcode, and Volunteer Benefits
I understand that the Egyptian Pavilion may use a volunteer management system, ID card, QR code, or barcode system to manage volunteer registration, shift scheduling, attendance, check-in, check-out, meals, entry access, guest access, appreciation perks, and event administration.
I consent to the use of this system for these purposes.
6. Personal Information and Privacy Consent
I consent to the Egyptian Pavilion collecting and using my personal information for volunteer coordination and event administration.
This information may include my name, phone number, email address, emergency contact, age confirmation, availability, selected shifts, assigned volunteer areas, attendance records, check-in/check-out records, volunteer ID, barcode/QR code, and related volunteer notes.
This information will be used only for reasonable event-related purposes, including scheduling, communication, safety, emergency contact, attendance tracking, volunteer management, and event administration.
The Egyptian Pavilion will take reasonable steps to protect volunteer information and will not sell volunteer personal information.
7. Photo and Media Release
During the event, photos and videos may be taken for event memories, promotion, social media, website use, sponsor reports, community updates, and future marketing.
I consent to the Egyptian Pavilion using photos or videos that include me for event promotion, social media, website, printed materials, and future marketing.
8. Assumption of Risk and Release of Liability
I understand that participating as a volunteer involves some normal risks. I agree to participate responsibly and follow all safety instructions.
To the fullest extent permitted by law, I release and hold harmless the Egyptian Pavilion, its organizing committee, volunteers, directors, officers, sponsors, partners, staff, venue, and related representatives from claims, demands, losses, injuries, damages, or expenses arising from my volunteer participation, except where caused by gross negligence, intentional misconduct, or where prohibited by law.
9. Emergency Medical Consent
In the event of an emergency, I authorize the organizers to contact my emergency contact and, if necessary, seek emergency medical assistance. I understand that I am responsible for any medical costs that may apply.
10. Volunteers Under 18
If the volunteer is under 18 years old, a parent or legal guardian must review and accept this Waiver and Consent.
As the parent or guardian, I confirm that I give permission for the minor volunteer to participate. I understand the nature of the volunteer activities, the potential risks, and the information collected through the volunteer management system. I accept this Waiver and Consent on behalf of the minor volunteer.
11. Final Agreement
By clicking on I agree to the registration form, I confirm that:
- I have read and understood this Volunteer Waiver, Consent, and Code of Conduct.
- The information I provided is accurate.
- I agree to follow the rules, safety instructions, and expectations of the Egyptian Pavilion.
- I understand that my volunteer role may be changed, limited, or cancelled by the organizers if needed for safety, scheduling, or event operations.
